In a shared office, at least one employee should be present during lunchtime.

- Compile a list of employees in the shared office.
- Develop a monthly schedule according to which everybody takes turns to have their lunchtime within the office.
- If there is an acceptable reason why that specific individual cannot perform their task, they should switch days with the next person on the list.
- All telephones should be re-routed to the employee on duty.
- Clear messages should be taken down in compliance with the policy stating how to communicate on the telephone for incoming calls.
