Policies and procedures are often used as one concept. They do however have different definitions, functions and values.

Policies

Procedures

  • The formal statement of a principle or rule
  • Each policy addresses an issue that is important to the mission or operations of the organisation
  • Describes how to carry out or implement a policy.
  • The “what”
  • The “how to”
  • Are written as statements or rules
  • Are written as instructions, using logical steps

Example

In a shared office, at least one employee should be present during lunchtime.    

  1. Compile a list of employees in the shared office. 
  2. Develop a monthly schedule according to which everybody takes turns to have their lunchtime within the office.
  3. If there is an acceptable reason why that specific individual cannot perform their task, they should switch days with the next person on the list. 
  4. All telephones should be re-routed to the employee on duty. 
  5. Clear messages should be taken down in compliance with the policy stating how to communicate on the telephone for incoming calls.
