One of the assistant’s recurring tasks is to oversee the manager’s diary. Assistants organise, arrange, and make a note of managers’ meetings with both internal and external contacts, whilst also keeping an eye on appointments that have been made, and finding solutions if they are not able to go ahead, and making a note of this. All these tasks are usually done independently, allowing assistants to flexibly manage the boss’ diary and to know exactly what is possible and what isn’t.

In managing diaries, assistants are also responsible for the to-do’s that managers must not forget about. Furthermore, many appointments demand preparatory work or follow-up. Assistants also play an important role here, taking a large portion of the preparation and follow-up out of managers’ hands, leaving them to concentrate on the main task of running their business.

The assistant’s diary is like that of the manager, but assistants are the only people who manage both. Thanks to assistants, managers can see all the relevant information about the day's schedule at a single glance. Without assistants, managers would have to do this themselves, which most do not have the time for. When a very important meeting or gathering suddenly crops up, assistants are there to help, thanks to their organisation skills, accuracy and orderliness.
